Preventing Email Impersonation: How Wentz IT Consulting Protects Your Organization’s Reputation

How We Help Stop Email Impersonation Before It Hurts Your Reputation

Imagine finding out someone has been sending fake emails that look like they’re coming from your organization. Maybe it’s a fake invoice, a scam targeting donors, or a spoofed message sent to your board members. It happens more often than you think— and it can damage your credibility before you even know it’s happening.

That’s why Wentz IT Consulting quietly monitors your email domain to make sure no one is pretending to be you.

What Email Impersonation Looks Like

Email impersonation (sometimes called spoofing) is when a scammer makes an email look like it’s coming from your domain—
even if they’re not using your systems at all. They might use a common name like info@yourdomain.com or copy your signature line.

It’s sneaky, and it can be used in phishing attacks, donation scams, or vendor fraud schemes.

How We Detect It

We set up invisible tracking for your domain—kind of like a security camera that watches who’s using your name in email. We receive daily summary reports (called DMARC reports) from email providers around the world. They tell us things like:

  • Who sent emails using your domain
  • Whether those emails passed key safety checks
  • If someone is trying to spoof or misuse your domain

What We Don’t See (And Why That’s Good)

These reports don’t include any personal information, email content, or lists of who your users are messaging. We focus only on the technical fingerprint of the message—not the private data.

By keeping it this way, we protect your organization and your people from unnecessary data exposure.

What Happens If We Spot a Problem?

If something suspicious shows up in a report, we’ll investigate it. We’ll confirm whether it’s a legitimate system you’re using, like a newsletter platform—or if someone’s trying to spoof your identity.

Then we’ll work with you to fix it. That could mean adjusting your DNS records or taking other steps to block the bad sender entirely.

You Don’t Have to Think About It—But We Do

This service is included in every Wentz IT Consulting plan. You won’t get pinged with every report or asked to interpret technical alerts. We’ll keep watch and let you know if anything needs action.
